How do I transfer an overseas student into Grade 9 or 10 in Bahrain?

By Gaurav Agarwal · Updated 15 October 2026

For a child arriving from an overseas school, start with the receiving private school and the Ministry's external certificate equivalency route. The Ministry says admission is immediate; the school then completes equivalency through its representative. Placement depends on the equivalency document. For a public school, no official route is published; ask the Ministry Customer Service Center (+973 17873333).

01Use the route that matches the certificate

The decisive question is where the child's most recent academic certificate was issued. The Students Transfer service lists, among the students exempted from it, a student whose most recent academic certificate is issued from outside the Kingdom.

For an overseas certificate and a place in a Bahrain private school, use the external certificate equivalency service. It exists to place the student at the appropriate grade level from the equivalency document.

02Prepare the certificate file before the school submits it

Prepare the identification and academic records as one clear packet. The official list includes the student's passport, CPR and valid residency permits. The academic record is the original certificate accompanied by its transcript.

Do not send altered scans or replace the original record with an informal school summary. All documents must be original and bear the official seal and signature of the following parties.

  1. Confirm that the student's name matches across the passport, CPR, certificate and transcript.
  2. Collect the original academic certificate and the full transcript.
  3. Add the student's passport, CPR and valid residency record.
  4. The Ministry may request a leaving certificate, transfer letter or other original documents if needed, so bring them if you have them.
  5. Keep a complete copy of everything handed to the school.

03Choose the standard authentication or Apostille path

Under the standard route, the certificate needs the seal of the education ministry in the country that issued it. The official page also lists the issuing country's foreign affairs seal and the seal of Bahrain's embassy in that country.

There is a separate shortcut when the certificate carries an Apostille. The Ministry says an Apostilled certificate can be submitted directly without the additional foreign affairs or embassy seals.

If the certificate is not in Arabic or English, arrange a legal translation into Arabic or English through an authorized translation office.

04Give the file to the receiving private school

The private school is not merely a place to collect an acceptance letter. For this route, the Ministry says the student is admitted to the private school immediately and the school completes certificate equivalency through its representative, coordinating with the Directorate of Private Schools Licensing and Follow-up.

Ask the admissions team to confirm that it is using the overseas-student equivalency route. Give the school the complete document packet and request its application or tracking reference. The service is available throughout the academic year.

Under its Students Transfer service, the Ministry ties private school registration to the school's admission criteria and capacity; expect the receiving school to apply its own criteria. Use the Ministry's finder to verify the institution and obtain its listed location and contact details.

  1. Choose a Ministry-listed private school using the Educational Institutions Finder.
  2. Ask the school to review the certificate packet before submission.
  3. Give the school the authenticated originals, transcript, identification records and translation where required.
  4. Keep the school's application reference and the final equivalency document.
  5. Use the equivalency result when confirming the child's final grade placement.

05Plan around the published time, not an assumed school deadline

The Ministry service page lists a completion time of one working day and a fee of none. The Ministry says the student is admitted to the private school immediately, and the school then completes the certificate equivalency through its representative. The one-working-day figure belongs to the private-school admission equivalency service.

The ordinary Students Transfer service lists five working days, but that timing belongs to a different route. Do not use it to estimate an overseas certificate equivalency case.

06Check the file on your phone before handing it over

A complete packet should show the student's identity, academic record, authentication route and translation status without requiring the school to guess. Use this final check before the appointment or handoff.

  1. Passport, CPR and valid residency record included.
  2. Original academic certificate and transcript included.
  3. Education ministry seal confirmed for the issuing country.
  4. Foreign affairs and Bahrain embassy seals confirmed, or Apostille path confirmed.
  5. Authorized Arabic or English translation included when needed.
  6. Receiving school has confirmed it will complete equivalency through its representative.
  7. Copies and a reference number saved.

07What the official pages don't say

The checked official pages do not publish a separate document list or approval route specifically labelled for those grades. The Ministry Customer Service Center also runs an Equivalency Service for School Certificates Issued Outside the Kingdom of Bahrain; for a Grade 9 or 10 entry it asks for the original transcript for the last grade completed. The equivalency document determines the appropriate grade level. Ask the receiving school to confirm the resulting grade after the Ministry process rather than assuming that the overseas grade name will transfer unchanged.

The Ministry says the student is admitted to the private school immediately, and the school then completes the certificate equivalency through its representative. The one-working-day figure belongs to the private-school admission equivalency service.

08FAQs

Do I use the normal Students Transfer service?

Not when the latest academic certificate was issued outside Bahrain. That case is excluded from the ordinary service and uses the overseas certificate equivalency route for private school admission.

Which certificate should I bring?

Bring the original academic certificate with its transcript, plus the student's passport, CPR and valid residency record.

Does the certificate need embassy attestation?

The standard route lists the issuing country's education ministry and foreign affairs seals plus the Bahrain embassy seal. An Apostille allows direct submission without the additional foreign affairs or embassy seals.

Do I need a translation?

Yes, when the certificate is not in Arabic or English. The official page requires legal translation into Arabic or English by an authorized office.

How long does the Ministry process take?

The private-school admission equivalency service lists one working day. The Ministry says the student is admitted to the private school immediately, and the school then completes the certificate equivalency through its representative.

How much does it cost?

The Ministry page lists no fee for this service.

Who submits the equivalency request?

The receiving private school completes the process through its representative in coordination with the Ministry directorate.

Will my child definitely enter Grade 9 or Grade 10?

The Ministry says the equivalency document determines the appropriate grade level. The checked official pages do not promise a specific grade before that result.
